The situation
This engineering business works with clients in mining, manufacturing and heavy industry. Its job information came from several places: a separate forms app for site paperwork, timesheets kept apart from jobs, and spreadsheets that someone had to copy data out of by hand.
monday.com was already in use for jobs, but automations had been built piecemeal and dashboards no longer reflected how the business ran.
Starting with a workshop
Quirk began with a systems of work workshop: a current-state assessment, an overview of what the platform could do, and a future-state roadmap. The team then chose to go ahead with the first phase.
What we built
- Migration of up to ten site and operational forms into monday.com
- Timesheet integration so hours land against the right jobs
- Automated extraction of data from Excel files, removing manual copying
- Rebuilt job board automations
- Reconfigured dashboards for managers
- An assessment of the work register for the next phase
- Testing, documentation and handover
What changed
- One job system instead of separate forms, timesheet and spreadsheet tools
- Less double handling between the field and the office
- Dashboards that reflect how work actually flows
- A clear roadmap for the next phase, including timesheet reporting
